Billing
We are a virtual CPA firm and our methodology allows us to be fully responsive to clients’ demands due to our proper use of technology. We have found that our services are most valuable when we offer you uninterrupted access to us for your tax, accounting, and finance questions. We are certain that having full access to a CPA is very beneficial to individuals and their companies. We believe our policy to be upfront with our prices is what differentiates us from many other CPAs. This provides our clients with peace of mind knowing they won't receive a huge bill at the end of the year.
We offer full-year service payable monthly. Billing monthly better aligns with the value we bring to the relationship and it encourages the team to continuously seek opportunities or address any questions. This plans are designated for clients that keep digital records of their expenses, invoices, and bank statements. Having your updated financial information at our fingertips allows us to provide relevant and reliable advice in a timely fashion. If your company has grown to a size that requires more time with "back office" duties and you'd like to refocus on the operations of the company, we also offer hourly services.
Our hourly services may be purchased as add-ons to our monthly plans or separately. We provide bookkeeping support, monthly reporting, business consulting, and part-time CFO services at hour rates. If you cannot match your needs to a plan or would like to get a quote per project, feel free to contact us for a consultation (first appointment is free). Refer to the industry specific pages for examples on current quotes.

FAQ
1. Do I need to be on your monthly plans to receive tax services?
A: We provide tax preparation services for non-monthly members at our hourly rates. We recommend the monthly plans to our clients to ensure you have access to tax planning strategies and access to us throughout the year. One of the benefits of our monthly members is that the tax return is covered in the price.
2. How long do I need to be a monthly member to receive the return for free?
A: We provide tax preparation as part of our monthly plans. One return per membership year is included. This means that if you sign an engagement letter February 2015, your 2015 taxes that are due April 2016 are covered. We would bill you for actual time needed to complete your 2014 taxes that are due April 2015 upon completion of the work separately.
3. How do you monthly contracts work?
A: Our contracts are 12 month agreements and are effective on the first day of the month following the engagement letter date. For example, if you join the firm 6/15/15, your monthly statement will be sent on 7/1/15 and the contract will be complete on 6/30/16. Since you started in 2015, your 2015 taxes are covered in your price.
4. What is tax planning?
A: It is a great tool that puts you in the driver's seat in regards to taxes. We offer tailored tax planning strategies to our PLUS and BUSINESS Plans members. This plans include a tailored report that reflects your activity during the year and it is usually performed in the last quarter of the year. We start with your books and determine the tax exposure at that point in the year. Subsequently we analyze the data and provide actionable information to reduce your tax liability before the year is over (getting rid of the "should have... could have... would have..." of taxes). Our INDIVIDUAL Plans do not include a formal tax plan; however, you gain unlimited email assistance to guide you through any tax or accounting question.
5. I have a start-up business, do you recommend to make a financial commitment on your monthly plans or just pay for some bookkeeping and tax prep services?
A: Let us help you, guide you, through the complexity of having a start-up business. We enjoy working with start-ups as we believe we can help guide them in the right direction - from the beginning. We provide great value to start-ups since our monthly prices are affordable on almost any budget. Start-ups that sign up for the PLUS Plans receive assistance setting up QuickBooks or Xero. Our clients also enjoy the benefit of our scheduled calls to discuss tax strategies and the unlimited email support provided to all our Plan Members throughout the year. Alternatively, we can engage for tax preparation, bookkeeping, and/or other services at our applicable hourly rates. For example, a simple 1040 return could take a couple of hours at our 'Data Entry' rate, a couple of hours at hour 'Accountant' rate and one hour 'CPA' rate (for a total of 5 billable hours). We strive to have the best mix of hourly rates to help keep costs low.
6. I have a rental property under my name and I am thinking of transferring it to an LLC, how would this affect my membership?
A: First, let us get together and talk a little about your specific situation - some loans become due when a property is transferred. However, to answer your question, we will certainly keep you in the INDIVIDUAL Plan since you only have one property and you are still within the permitted number of forms/schedules in the Plan. We would ask for a revised engagement letter only if you increase the tax forms or schedules we prepare. Should you create a new company or increase the number of property count we would adjust the rate going forward - we would just bill to accommodate the additional workload. The best way we can serve you is by advising us of any significant changes in your personal and/or business matters.
7. I am thinking of opening a business, can you help me formalize it?
A: Congratulations on your decision - you won't regret it!!! We have experience filing with the state and the IRS to establish non-complex entities. If you are interested in forming a partnership, C-corps, or trusts, we highly encourage a consultation with a lawyer to assist you through the process. We have highly regarded lawyers in our network that provide free initial consultations and we work seamlessly with them to ensure we address all legal and business structuring opportunities.
8. I am a small organization and cannot send you the files electronically?
A: We will assist you regardless. We promote innovation at all levels though - this includes record keeping. We encourage all of clients and followers to digitize their record keeping. By having electronic files, you can save us time and it saves you money. We have a standard admin fee of $100 if we must receive or send any paper files or deliverable plus the applicable "data entry" rate for actual time spent scanning or printing.
